This guide walks you through the complete process of creating and launching an outbound campaign in Live Bots 365. Before you begin, make sure you have an AI assistant configured and a list of leads ready to import.
From your dashboard, click 'Campaigns' in the left sidebar, then click 'Create Campaign' in the top right.
Give the campaign a clear, descriptive name that identifies its purpose and date — for example, 'Q2 Sales Outreach - April 2025' or 'Appointment Reminder - May Patients.' This makes it easy to find and reference later.
Choose the assistant that will conduct the calls. The assistant's system prompt and tools should be configured specifically for the type of outreach this campaign involves. Using the wrong assistant is one of the most common setup mistakes — double-check that the selected assistant's prompt matches the campaign's goal.
Select the phone number that will appear on recipients' phones. Using a local area code number for your target region significantly improves answer rates compared to toll-free or out-of-area numbers.
Import your lead list by uploading a CSV file or selecting an existing lead group. The CSV must include at minimum a phone number column. See the Importing Leads guide for CSV formatting requirements.
Define the days of the week and hours during which the campaign may place calls. Always respect local calling regulations — in the US, for example, the TCPA restricts calls to between 8am and 9pm in the recipient's local time zone.
Set how many times to retry a lead if the call is unanswered (typically 2–3 attempts) and the minimum time between retries (typically 24–48 hours). Too many retries in a short window can feel spammy to recipients.
Choose whether the assistant should leave a voicemail message when it reaches voicemail, or simply hang up. If leaving a voicemail, configure the message in your assistant's voicemail settings.
Define how many calls the campaign can run simultaneously. Higher concurrency means faster campaign completion but requires more phone numbers to avoid spam detection. Start conservatively and increase as needed.
Review all settings, then click 'Launch Campaign.' The campaign will begin calling according to its schedule. You can pause it at any time from the Campaigns dashboard.
Before You Launch: Final Checklist
- ✓ Assistant prompt is tested and working correctly
- ✓ Lead list is clean — no duplicate numbers, correct formatting
- ✓ Calling hours comply with local regulations
- ✓ Caller ID number is appropriate for the target region
- ✓ Voicemail behavior is configured if needed
- ✓ You have sufficient call minute credits to complete the campaign
