Understanding how your data is stored and retained is important for compliance, privacy, and operational planning. This page explains Live Bots 365's data retention policies and answers common questions about data storage.

What Data Is Stored

Call Transcripts1 yearSearchable and exportable from the Conversations section
Call Logs (metadata)2 yearsIncludes duration, outcome, timestamps — no audio or transcript
Lead / Contact DataUntil manually deletedYou own your contact data and can delete it at any time

Billing Records7 yearsRequired for financial compliance

Disabling Call Recordings

If your use case requires that calls not be recorded (for example, in jurisdictions with strict recording consent laws), you can disable call recording in the assistant's settings. Note that disabling recording also disables the playback feature in the Conversations section — transcripts will still be available.

In some jurisdictions, you are required to inform callers that the call is being recorded. Consider adding a disclosure to your assistant's initial greeting: "This call may be recorded for quality assurance purposes."

Deleting Your Data

You can delete individual conversations, contact records, and campaign data from the platform at any time. Deleted data is removed from active systems immediately and purged from backups within 30 days.

To delete all data associated with your account (for example, when closing the account), contact the Live Bots 365 support team. Account data deletion is completed within 30 days of the request.

Data Residency

Live Bots 365 data is stored in secure cloud infrastructure in the United States by default. If your business requires data to be stored in a specific region (for example, the EU for GDPR compliance), contact support to discuss data residency options.

GDPR and Privacy Compliance

Live Bots 365 is designed to support GDPR compliance for EU-based businesses. Key features include:

  • Data subject access requests — export all data associated with a specific contact.
  • Right to erasure — delete all data associated with a specific contact.
  • Data processing agreements available upon request.
  • Configurable data retention periods.

For specific compliance questions, consult with a legal professional familiar with the privacy laws applicable to your business.
